Agree on the clock before planning the day
Flights, accommodation, drivers and activities may appear in different messages. A number alone does not establish the date, the time convention or whether you must arrive or begin then. If someone uses a phrase such as local time, ask them to restate the arrangement in Beijing time instead of guessing or applying your own conversion.
Keep one family schedule headed All times are Beijing time. Write 09:00 or 21:00 and include the next calendar date for an arrival after midnight. These are communication practices, not a statement about any current timetable or business hours.
Separate three different milestones
A reservation start, arrival at an entrance and departure from a hotel are different events. Check the actual booking requirements first, discuss travel and entry allowances with the driver, then agree on the meeting time. A reservation window should never silently become the hotel departure time.
A useful row contains the date, clock convention, hotel meeting location, planned departure and booked entry. Fill in actual times for your own journey. Collecting luggage, walking to the vehicle and locating the entrance cannot all happen at the same instant.
Maintain one confirmed version
When arrangements change, one person should update the shared schedule and identify the superseded time. Ask the driver and the adults accompanying children or older relatives to acknowledge it. Replace printed copies too; an updated phone message does not update a paper note.
Review the following day together each evening. If a provider has not replied, use the established booking contact to confirm. Sending a message is not the same as receiving agreement.
Check return travel against the booking
Before the return journey, review the date, departure airport or station, booked time and current carrier instructions. Resolve discrepancies between a phone display and a booking before leaving; daylight is not a departure clock. This article supplies no live schedules or universal airport arrival allowance.
