Separate landing from readiness to leave
Collect each party's arrival date, airport or station, flight details, headcount and large luggage needs. Share personal details only with people arranging the transfer. Baggage collection and walking to the pickup point take additional time, so the last scheduled landing is not automatically the group's departure time.
Use a small transfer table with a contact person and agreed meeting point for each party. An airport name alone is insufficient, and different transport terminals in one city are not interchangeable. Reconfirm the exact location and arrival status with the provider before travel.
Compare the burden on everyone
Waiting together can work when arrivals are close, the pickup point is shared and waiting facilities and vehicle arrangements are confirmed. Consider more than the saved transfer charge: earlier arrivals may spend a long time with luggage before another demanding drive.
Separate transfers suit more widely spaced arrivals. Earlier guests can travel to the agreed hotel, but early room access or luggage storage needs confirmation. A booking for that night does not guarantee a room in the morning. Obtain the transfer scope, waiting arrangements and charges in writing from the provider.
Give late arrivals an independent plan
Send the first hotel's address and contact details to each party. Agree who will report a delay and who will contact the hotel. Set a clear starting point for shared activities instead of making an early group carry luggage to an activity everyone must enter together.
For example, an afternoon party and an evening party could transfer separately and meet at the hotel before starting the route next morning. If one flight is delayed, revise that party's transfer and accommodation instead of keeping everyone at the exit indefinitely. Recheck passengers, vehicles and bookings if the next day's connection changes.
